Terms of Use of Neighborhood Hall (Meeting Facility) (Example)

This agreement is a model plan created to be used as a reference for operating the Neighborhood Hall (meeting facility).

Chapter 1 General Rules

(Purpose)
Article 1 These terms and conditions apply to Neighborhood Association (Neighborhood Associations) (hereinafter referred to as "Neighborhood Association"). It is provided to facilitate the operation of the owned neighborhood hall (located in XX-ku, Yokohama, XX-ku).
(The name of the hall)
Article 2 The main hall shall be referred to as the XX self-government (neighborhood) hall (hereinafter referred to as the “hall”).
(Definition of the Hall)
Article 3 The hall shall be a building established by investment based on the agreement of the members in order to promote mutual interests and welfare of members and to use meetings, meetings, club activities, etc., as a place to promote mutual benefits and welfare of members and to enhance fellowship among members. And other incidental equipment.

Chapter 2 Operations

(Steering Committee)
Article 4 In order to operate the hall democratically, a steering committee (hereinafter referred to as “committee”) shall be organized.
(Composition of the Committee)
Article 5 The committee shall be composed of representatives of each specialized department and other members.

(Authorization of the Committee)
Article 6 The Committee shall have the right to supervise and make decisions on the operation of the hall.
2. Details concerning the operation of the Committee shall be determined separately.

Chapter 3 Use of the Hall

(Application for use)
Article 7 Those who wish to use the hall shall apply to the committee at least XX days before the date of use according to the prescribed application form.
(Permission to use)
Article 8 Use of the hall shall be permitted as long as there is no obstacle to Neighborhood Association activities. Provided, however, that the Committee may not grant permission if any of the following items apply:
(1) When there is a risk of disturbing noise or other neighborhoods.
(2) For-profit business without approval from Neighborhood Association.
(3) If there is a problem with management.
(Use time)
Article 9 The usage time of the hall shall be as follows in principle.
From xx a.m. to XX in the afternoon. Provided, however, that this shall not apply if approved by the Committee.

Chapter 4 Others

(Expense burden)
Article 10 Those who use the hall shall bear utility bills, water charges and other expenses.
*(The amount of usage fee is determined separately for each group.)
2 Payment of fees shall be paid in advance to the Committee.
3 When used at conference events associated with Neighborhood Association activities, it is free of charge, and other items specifically approved by the Committee may be exempted or reduced.
(User’s obligations)
Article 11 When using the hall, the following matters shall be observed.
(1) Determine the person in charge of use.
(2) Observe the usage time.
(3) When using, handle equipment, equipment, etc. carefully and do not stain the room.
(4) Pay particular attention to the use of fire, and complete cleaning.
(5) After use, clean up and clean up.
(6) Otherwise, follow the instructions of the Committee.
(Others)
Matters not stipulated in these Terms shall be discussed and decided by the Committee and approved by the Board of Directors of Neighborhood Association.
The amendment or abolition of these Terms shall be determined by a resolution of the General Meeting of the Neighborhood Association.

Supplementary Provisions

These Terms shall come into effect on the day of xx month xx.
