Results of measures against the opinion of the on-site inspection report on personal information handling affairs in 2008

Outline of field inspection
Inspection dateDecember 25, 2008
Inspection targetOffice work related to fine disposal based on the regulations (Littering and Smoking Prohibition Ordinance) on Prevention of scattering such as empty cans in Yokohama City and butts
Jurisdiction DivisionResources and Waste Recycling Bureau Weight Reduction and Beautification Promotion Section
Keeping a copy of the regular decision book (improvement opinion)
OpinionDocuments related to fines are processed within the Business Administration Division, but a large amount of copies of the regular approval book are kept in order to respond promptly if there is any inquiries during the decision. It is said that it is also used as an index, but since the original is stored collectively after the approval, it should be disposed of at least after the original approval of the original.
Results of MeasuresBased on this opinion, a copy of the regular approval book will be discarded after the original approval, and measures have been taken for disposal of the existing items and subsequent handling.
Measures to be taken if you do not receive a notice or receipt (proposal opinion)
OpinionPersonal information such as name is written on the notice of fines and receipt. It is said that offenders who are dissatisfied with the guidance and disposition may not receive those documents, but troubles such as "handed over" or "not received" are also assumed.
From the viewpoint of preventing troubles after the fact, it is considered necessary to take some preventive measures. For example, two beautification promotion members confirm each other, and state that fact in the special notes column of the notification / fine disposal report, etc. Proposed that the response be manualized and practiced.
Results of MeasuresWhen disposing of personal information and preventing financial accidents, the Company shall always apply based on confirmation of multiple persons. In addition, regarding the patrol contents of the patrol on the day (composition of the engagement group, patrol time zone, and patrol place), a daily report will be prepared from March 2009, so that the beautification promotion staff who was directly involved in office work can be identified. We believe that we can respond to post-morte trouble. In addition, all of these handlings are stipulated in the guidelines for the beautification promotion staff patrol guidance, and the handling is unified.
