Administrative Document Catalog Search Guide

Overview

Yokohama City Administrative Document Catalog Search is a system that searches administrative documents held by the city and browse catalog information.
On the search condition input screen, specify the search conditions from "keyword", "document holding section", "document classification", "document classification", and "date of viewing / decision completion date", and search for administrative documents.
A list of search documents will be displayed on the search results screen. Click the document title to view the detailed information of the document.
Specify the conditions well and find the information you want.
The "Back", "Go" and "Update" buttons on the browser button do not process properly. To move the screen, use the button on the screen.

Search for administrative documents according to the specified search conditions and display conditions. Please refer to "Search Conditions" below for how to specify each search condition.
If there are no documents that meet the search conditions, or if there are too many search results, an error screen will be displayed.

Search condition input

Specify search conditions for administrative documents. One of the "keyword", "document holding section", "document classification", "document classification", and "date of completion of display / decision" must be specified as search conditions. In addition, if multiple items are specified as search conditions, administrative documents that meet all of the specified conditions are searched.

Keyword

For the keyword, specify the subject of the administrative document you want to find, or the string (word) that is likely to be included in the document classification name (major category name, middle category name, small category name). Free strings can be specified using hiragana, katakana, kanji, alphabetical characters, etc.

Also, to enter multiple keywords, enter a space (blank character) between each keyword and enter. The number of searchable keywords is up to the number specified for both AND and OR conditions. If you enter more than one keyword, the following search is performed according to the input field.

1.Specify "AND conditions"
Only administrative documents containing all of the entered keywords will be searched.
2.Specify "OR condition"
Administrative documents containing any or all of the entered keywords will be searched.
3.Specify both "AND conditions" and "OR condition"
(AND conditions) Searched as AND (OR condition) are searched.

Document Holding Division

Select a document holding section from the combo box and specify it as a search condition. In the initial state, the data is set only in the convo box of the holding station district name. For other comboboxes, data is set based on the following specifications.

  • By selecting the holding station district, the section belonging to the selected holding station district is displayed in the department name combo box.
  • By selecting a department, the section belonging to the selected department will be displayed in the section name combo box.

※It is not necessary to specify the document holding section up to the section name.

Document classification

Select the document classification from the combo box and specify it as a search condition. In the initial state, the data is set only in the annual combo box. For other comboboxes, data is set based on the following specifications.

  • By selecting the fiscal year, "common" and "by section" are displayed in the document classification type combo box.
  • By selecting the document classification type, the major category (eye / station area) corresponding to the document classification type will be displayed in the major category (eye / station ward) combo box.
  • By selecting the major category (eye / station area), the middle category (sections / sections) corresponding to the selected year, document classification type, and the major category (eye / station ward) are classified as the middle category (section / section) Composed in the box.
  • By selecting the middle category (section / section), the small category (document classification name) corresponding to the selected year, document classification type, major category (eye / station ward), and middle category (section / section) are classified as small classification (document classification name) Displayed in the combo box.

※It is not necessary to specify the document classification to the sub-category (document classification name).

Date of end of viewing and approval

Search for administrative documents corresponding to the date range specified by the date of completion of the display / decision. The date specification is "from when to when to when", but you can also specify only one of them. It is also possible to search by specifying the year only.
However, it is not possible to search by specifying the month only. Also, please note that an error will occur if the date of "when" is newer than the date of "when" date is new.

1.Only "when" is specified.
All dates will be the search condition after the specified date.
2.Only "how long" is specified
All dates before the specified date will be the search condition.
3.Designate both "when" and "how long" are specified
The date within that period will be the search condition.

How to display search results

Specifies the display conditions of the search results.

Sequence order

Specifies the display order of the search results. "Ascending order of document holding section", "Destruction order of document holding section" "Ascending order of viewing / decision completion date" "Advanced order of document classification", "Download order of document classification", "Download order of document classification" Please select from the ascending order of the subject" and "in descending order of the document subject".

Number of Display

Specifies how many search results will be displayed on one page. If the search result extends to multiple pages, you can move it by selecting the display page from the drop-down.

Clear search results

Clears the specified search conditions and display conditions.

Search results

Lists the results of searches with the specified search conditions and display conditions.

Click on the subject of the document to go to the details screen of the document.

If the search result extends to multiple pages, you can transition the page by selecting the display page from the drop-down.

Number of Display

You can change how many search results are displayed on one page. When selected from the combo box, the number will be displayed immediately. At that time, the list will be displayed on the first page.

Changes in order of search results

Sequence order

You can reorder the search results list. "Ascending order of document holding section", "Destruction order of document holding section" "Ascending order of viewing / decision completion date" "Advanced order of document classification", "Download order of document classification", "Download order of document classification" Please select from the ascending order of the subject" and "in descending order of the document subject".

Research

You can perform a narrowing search by entering keywords. Regarding the search conditions for "Document holding section", "Document Classification", and "Date of completion of viewing / decision", the conditions specified on the search condition input screen will be inherited.

Keywords ("Up to 3 AND conditions", "up to 3 OR conditions")

The search conditions set on the search condition input screen are displayed. You can continue searching by adding or changing keywords.
Specify keywords in the same way as the search condition input screen. Click the "Research" button to perform the search again.

Return to the search input condition screen

To research another document and add a disclosure request document, click the "Return to the search input condition screen" button.
